Apostille Service in Denton, Texas

Apostille Request Form

Denton is a college town and a county seat at once. The University of North Texas enrolls more than 42,000 students, Texas Woman’s University more than 13,000, and the Denton County Clerk and District Clerk both work out of the county building on East McKinney Street.

That mix produces a lot of paperwork bound for other countries: transcripts for graduate programs in Europe, diplomas for teaching jobs in Asia, marriage certificates for spouse visas, and court orders for family matters abroad. Apostille Authentications gets those documents authenticated by the Texas Secretary of State. Denton clients ship to our Texas office in Houston, and we handle the rest by mail and courier.

Getting UNT and TWU Credentials Authenticated

Diplomas and transcripts are the most common Denton requests, and they are also the documents most often sent back for corrections. Texas will not apostille a diploma by itself. The Secretary of State needs a statement from the school about the document, signed and properly notarized.

Texas Woman’s University explains its process on the registrar’s notary services page:

  • Diplomas: order a duplicate diploma and ask for notarization on the order form. Printing is outsourced, so allow six to eight weeks. A notary then witnesses an authorized official’s signature on a verification statement.
  • Transcripts: only printed official transcripts can be notarized. Order online, then email transcripts@twu.edu to request notarization before release; allow up to three business days.
  • The Office of the Registrar is in Brackenridge Hall, Room 231, 402 Administration Drive, and the phone number is 940-898-3036.

University of North Texas graduates should contact the UNT registrar and ask for a notarized diploma or transcript verification for apostille use. Whichever campus you attended, send us a scan of the notarized document first; it costs nothing to have us confirm the notary block is complete before you mail it.

Why Denton Students and Graduates Need Apostilles

The reasons vary, but most fall into a few groups:

  • Study abroad and graduate school. Foreign universities often ask for apostilled transcripts and degrees before final admission.
  • Teaching and work visas. Language schools and employers overseas typically want an apostilled degree, and many also want an FBI background check, which is a federal document handled by the U.S. Department of State.
  • International students finishing in Denton. Graduates returning home may need their Texas degree recognized by a ministry of education.
  • Faculty and researchers. Academic appointments abroad can require birth, marriage and degree records for the whole family.

Denton County Clerk and District Clerk Offices

Both offices share the same county building at 1450 E. McKinney Street. Information below comes from the county’s County Clerk directory, birth and death certificate page and District Clerk listing.

The County Clerk also serves walk-in customers at Carrollton, Cross Roads, Lewisville, Frisco and Flower Mound. Remote orders go through the county’s online vitals portal or a mailed application. Staff will not confirm records over the phone, so request the certified copy directly.

If the birth or death happened elsewhere in Texas, the state’s Vital Statistics section at DSHS can issue it. Write “Apostille” as the reason for the request.

Peterbilt, Health Care and Other Denton Employers

Beyond the universities, Denton’s top employers listed on the city’s Wikipedia entry include Peterbilt Motors, which is headquartered in Denton, Sally Beauty Holdings, Texas Health Presbyterian Hospital Denton, Medical City Denton and the Denton State Supported Living Center. Manufacturing and health care employers like these can generate requests such as:

  • Notarized distributor or dealer agreements for partners outside the United States
  • Texas business certificates needed to register a foreign entity or open a bank account abroad
  • Nursing and medical credentials for clinicians accepting positions overseas

Before You Mail a Denton Document

Small mistakes cause most rejections at the state level. A few habits help Denton clients avoid a second round:

  • Leave the certified copy untouched. Do not unstaple, laminate, highlight or write on it. The Authentications Unit has to see the issuing official’s signature and seal exactly as applied.
  • Match names across documents. If your diploma shows a maiden name and your passport a married name, the recipient may also want your marriage certificate apostilled.
  • Order one extra copy. Some programs keep the original, and a spare saves another trip to East McKinney Street or another wait for a duplicate diploma.
  • Ask about translation early. Universities in non-English-speaking countries often want a certified translation of the apostilled record; our translation team can handle that.
  • Plan around the semester. Registrar offices get busy near graduation and the start of terms, so request notarized records well ahead of an application deadline.

Frequently Asked Questions From Denton

How do I get a TWU diploma ready for an apostille?

Texas Woman’s University only notarizes original TWU documents. Order a duplicate diploma and request notarization on the order form, allowing six to eight weeks for printing. For transcripts, order a printed official copy and email transcripts@twu.edu to ask for notarization before it is released.

Can a UNT diploma be apostilled?

Yes, once a school official signs a statement about the diploma in front of a notary. Ask the UNT registrar whether it offers notarized diploma or transcript verification, then send us the notarized document for submission to the Secretary of State.

Where is the Denton County office for birth certificates?

The main County Clerk vital statistics office is at 1450 E. McKinney Street in Denton, and the county offers in-person service at six clerk locations. The office does not verify records by phone, so order the certified copy itself.

I studied abroad and need an FBI check for a visa. Can Texas apostille it?

No. An FBI background check is a federal document, so the U.S. Department of State authenticates it. We can help with that federal step as well.

Is my old Denton County marriage record still usable?

The Secretary of State’s guidance says recordable documents should be less than five years old. If your certified copy is older, order a fresh one from the County Clerk before sending it for an apostille.
