Rutland City Clerk: records you may need before a translation

Rutland’s vital records are kept by the City Clerk’s Office at City Hall. The office says it holds records going back to the 1800s, with very few from the 1700s, that can be viewed in the office, and that only records from 1909 to the present can be requested online. Certified copies are limited to family members, legal guardians, court-appointed parties or their representatives, and applicants must show valid identification.

Note that Rutland City and Rutland Town are separate municipalities with separate clerks. This page refers to the City of Rutland.

Interpreters and translated filings in the Rutland Unit

Vermont’s court system separates spoken interpreting from written translation. An interpreter for your hearing is arranged by the court and is free to you; the Judiciary suggests contacting the court ahead of the hearing date when you can. Interpreting is not provided for conversations between lawyer and client or for settlement conferences.

Translation of paperwork is narrower. The Judiciary’s manual commits it to translating vital documents the Judiciary generates and says documents generated by other agencies or entities are not its responsibility. For a foreign-language record you intend to file, ask the division’s clerk what kind of translation the court wants.

How Rutland customers order

Because we have no Vermont premises, nothing needs to be dropped off or collected.

  • First. Photograph or scan every page, including stamps and reverse sides, and upload the file as a PDF, JPEG, PNG or Word document.
  • Next. Review our quote. The rate begins at $65 per page.
  • Then. Tell us where the translation is going, for instance USCIS, a Rutland court or an authority overseas.
  • Finally. Receive the certified translation by email, post or both, in most cases 1 to 2 business days after you approve the quote.

Sending a Rutland document for a Vermont apostille

Rutland has no apostille office. Requests go to the Vermont Secretary of State, whose apostille desk is at the State Archives in Middlesex. Mail is the usual route from Rutland: enclose form VSARA-35, the document, and a check or money order in U.S. dollars for $10 per document, and address it to 1078 U.S. Route 2, Middlesex, Montpelier, VT 05633-7701. Cash and cards are refused. The office returns apostilles to U.S. addresses by USPS First-Class Mail at no charge.

A birth, death or marriage certificate from the Rutland City Clerk can be apostilled as a certified public record, provided it is certified by the legal record custodian. A court document must carry the printed name of the court staff member who issued it and the date certified.

A translation takes the notarized-document route. For that, we hire a notary commissioned in Vermont to notarize the translator’s statement. Ask the receiving authority abroad which documents it wants apostilled before you send anything.

Languages and federal immigration rules

According to Census Reporter’s ACS profile, Rutland has 15,712 residents and 2.1% of them are foreign-born, below the statewide figure. Vermont as a whole counts 7,705 residents who speak English less than very well, per the 2021 ACS estimate quoted in the Office of Racial Equity’s Language Access Report.

For immigration paperwork, 8 CFR 103.2(b)(3) applies in Rutland as it does nationwide: a full English translation, certified complete and accurate by a translator who also certifies competence in both languages.

We translate 100 languages, most often Spanish, Russian, Hindi, Urdu, Chinese, Vietnamese, Arabic and Czech. Contact us to confirm any other language before you order.
