Expedited Kansas FBI Apostille Services

Kansas residents who need an FBI background check apostilled for a visa, residency or job abroad often start with the Secretary of State in Topeka. That is the wrong door for a federal record. Apostille Authentications receives your FBI result by email, has it hand-carried to the U.S. Department of State in Washington, DC, and returns the apostille to Kansas by FedEx in 10 business days.

Why Topeka cannot apostille your FBI background check

The Kansas Secretary of State issues apostilles from the Docking State Office Building, 915 SW Harrison Street in Topeka. It handles Kansas documents: Kansas birth, marriage and death certificates, Kansas divorce decrees, court judgments, diplomas from Kansas schools, and documents notarized by Kansas notaries.

The Secretary of State’s page draws the line clearly in one direction. It notes that the U.S. Department of State will not issue an apostille for state-issued documents. The reverse is also true. An FBI Identity History Summary is issued by a federal agency, so its apostille can only come from the Department of State Office of Authentications in Washington, DC.

Two mistakes we see from Kansas clients:

  • A KBI record check is not an FBI check. The Kansas Bureau of Investigation runs record checks against its Central Repository, and it states that the repository does not contain data from any other state or federal agency. It covers Kansas arrests, prosecutions, court dispositions and state confinements. If your instructions say FBI, federal or national, the KBI report will not satisfy them.
  • Living on the state line does not change the office. Clients in Overland Park, Olathe and Kansas City, Kansas sometimes ask whether Missouri can help. Neither Topeka nor Jefferson City apostilles an FBI report. Both states stop at their own documents.

For Kansas vital records, court papers or diplomas, see state apostille services.

How it works from Kansas

  1. Local fingerprinting. Have an ink FD-1164 card rolled at a police department, sheriff’s office or fingerprinting vendor. Or register on the FBI’s eDO site and submit prints electronically at a participating U.S. Post Office. You request the FBI Identity History Summary yourself. The FBI charges $18.
  2. FBI result. The FBI issues a PDF that bears its watermark and a division official’s signature.
  3. Email it to us. We match the name and date of birth to your passport before filing. Attach the passport photo page so any difference shows up early.
  4. Department of State. We complete Form DS-4194. Our Herndon, Virginia office then hand-carries the request to the Office of Authentications. No DOJ certification is involved. The FBI result goes straight to the Department of State.
  5. Shipping. FedEx to your Kansas address, or FedEx or DHL to wherever you are abroad.

We do not have a Kansas office and do not offer fingerprinting in the state. Our service begins with your FBI PDF.

Where we serve Kansas clients

Statewide, with nothing to do in person. We work with clients in Wichita, in the Johnson County cities of Overland Park, Olathe and Shawnee, and in Kansas City, Kansas. The same goes for Topeka, Lawrence and Manhattan, and for Salina, Hutchinson and Garden City further west. A FedEx envelope reaches each of them on the same schedule.

Why Kansans need an apostilled FBI check

Common destinations for our Kansas clients include Mexico and Panama for residency, and Spain for study, work and long-stay visas. South Korea, Japan and China require an apostilled FBI check for teaching and employment visas. India asks for it with work and family applications, Germany in some residence permit cases, and Australia for certain visa and registration files.

A country that does not use English will usually want a translation with the apostille. Certified translation can be ordered at the same time. Many immigration authorities accept only an FBI check dated within the last 3 to 6 months, so match your fingerprinting date to your application date.

FAQ

Can the Kansas Secretary of State apostille an FBI background check?

No. The Secretary of State in Topeka apostilles Kansas documents, such as Kansas vital records, court judgments and papers notarized in Kansas. An FBI background check is a federal document and is apostilled by the U.S. Department of State.

How fast is an expedited FBI apostille in Kansas?

10 business days from the day we have your FBI result. Standard service is 7–8 weeks.

Can I submit a KBI criminal history record check instead of an FBI check?

Not if the request is for an FBI check. The Kansas Bureau of Investigation says its Central Repository holds no data from other states or federal agencies, so it is a Kansas-only record.

I live in Wichita or Overland Park. Do I have to go to Topeka?

No. Topeka plays no part in an FBI apostille, and we have no Kansas office. The whole order is handled by email and FedEx.

What happens if my FBI report and passport show different names?

Let us know before we file. We compare the two documents first, because a mismatch in name or date of birth can cause a foreign authority to turn the check away.
