Apostille Service in Irving, Texas
Apostille Request Form
Irving is one of the few suburbs in America where a corporate board resolution is as common a document as a birth certificate. Las Colinas, the 12,000-acre planned community in the middle of the city, holds the global headquarters of companies such as McKesson, Kimberly-Clark, Fluor, Celanese, Vistra and Commercial Metals, and part of Dallas/Fort Worth International Airport sits inside city limits. When those organizations send a contract, a power of attorney or an employee overseas, the paperwork often has to carry an apostille first.
Apostille Authentications helps Irving companies and residents get Texas documents apostilled without a trip to Austin. We work entirely by mail and courier; we do not run an office in Irving. You send the paperwork, we check it against Texas Secretary of State rules, and we submit it on your behalf.
Corporate Paperwork Leaving Las Colinas
Headquarters cities generate a particular kind of apostille request. Foreign banks, ministries and joint-venture partners want proof that a Texas company exists, that the person signing has authority, and that a translation or affidavit was properly sworn. Typical Irving business documents include:
- Certificates of formation and certificates of fact (good standing) issued by the Texas Secretary of State for a subsidiary opening abroad.
- Board resolutions and officer certificates signed before a Texas notary.
- Powers of attorney authorizing a local agent in another country to register a branch, open an account or sign a lease.
- Commercial invoices, distribution agreements and letters of authorization requested by foreign customs or regulators.
- Employment verification letters for staff applying for work permits overseas.
Privately prepared business records become eligible once a Texas notary has notarized them properly. The Secretary of State then authenticates the notary’s commission, not the content of the contract. If the receiving country also wants the text in its own language, our document translation services can be coordinated alongside the apostille.
Transfers rarely involve business papers alone. An employee relocating from an Irving office with a spouse and children usually needs a marriage certificate for a dependent visa, birth certificates for each child, and sometimes a state or county background check. Gathering these at the same time as the corporate file keeps the move on one timeline.
Students and Alumni of Irving Schools
Irving is home to the University of Dallas at 1845 East Northgate Drive, whose Core curriculum includes a Rome semester for sophomores at its campus south of Rome. Graduates who later apply for graduate study, teaching posts or residency in Europe frequently need their degree and transcript apostilled. Dallas College North Lake, which serves Irving and West Dallas, and the high schools of Irving ISD produce the other common academic records we see from the city.
Academic documents are not public records, so Texas cannot apostille them as issued. The usual path is:
- Ask the registrar for an official transcript or a diploma copy.
- Have a school official sign a statement before a Texas notary, or have a notary prepare a certified copy of the diploma where the Secretary of State allows it.
- Send the notarized document to us for submission to Austin.
Some registrars handle the notarization themselves, so call first and ask whether they provide notarized records for apostille purposes.
Dallas County Offices That Hold Irving Records
All of Irving lies in Dallas County, so certified vital records and court documents come from county offices in downtown Dallas rather than from Irving City Hall.
| Document | Office | Contact |
|---|---|---|
| Birth certificate, death certificate, marriage record | Dallas County Clerk, Vital Records, Records Building, 500 Elm Street, Suite 2100, Dallas, TX 75202 | (214) 653-7099 |
| Divorce decree, name change, other district court orders | Dallas County District Clerk, George L. Allen Sr. Courts Building, 600 Commerce Street, Dallas, TX 75202 | (214) 653-7301 |
| Birth or death certificate (statewide) | Texas Vital Statistics, Department of State Health Services | Order online or by mail |
| Business filings, certificates of fact | Texas Secretary of State, Business Filings | Order through SOSDirect |
The county clerk’s Records Building posts weekday hours of 8:00 a.m. to 4:30 p.m. When you order a birth certificate from the state instead, choose Apostille as the reason for the request so the record is issued in a form the Secretary of State can authenticate. Details are on the Dallas County Clerk birth certificate page.
One timing point: the Secretary of State’s guidance lists recordable documents, such as vital records and decrees, as needing to be less than five years old. An old certified copy kept in a filing cabinet may have to be reordered.
From Irving to Austin: How the Apostille Is Issued
Every Texas apostille comes from one place: the Authentications Unit of the Texas Secretary of State at 400 West 15th Street in Austin. The state charges $15 for each document. Requests that arrive by mail can take up to two weeks from the date the office receives them. Counter service in Austin is same-day, with walk-ins accepted on Mondays and Fridays and appointments required Tuesday through Thursday. Each submission travels with state Form 2102.
Our role is to remove the guesswork for Irving clients:
- We review each document before it ships, catching missing notary seals, expired commissions or the wrong type of certified copy.
- We prepare Form 2102 and the cover letter naming the destination country.
- We submit to the Secretary of State and return the apostilled originals to you.
Our service fee is $195 per document, and the $15 state fee is added on top. We do not quote our own turnaround, because the state’s processing time controls the schedule. See our pricing page for a full breakdown of what is and is not included.
When an Apostille Is Not Enough
Irving employers move people around the world, and not every destination belongs to the Hague Apostille Convention. The United Arab Emirates, Qatar and Kuwait are examples where the apostille step is replaced by embassy or consular legalization. Check the list of countries that accept apostilles before you start.
Federal records follow a separate track. An FBI Identity History Summary, often requested for a foreign work visa, is authenticated by the U.S. Department of State in Washington, not by Texas. Our FBI apostille service covers that process.
Questions from Irving Clients
Can a Las Colinas company apostille its Texas certificate of formation?
Yes. Documents issued by the Texas Secretary of State, such as certificates of formation and certificates of fact, can be apostilled by the same agency. Order a certified copy, then send it to us for submission.
Where do Irving residents get a birth certificate for an apostille?
Irving is entirely in Dallas County, so you can order from the Dallas County Clerk’s Vital Records division at 500 Elm Street in Dallas or from Texas Vital Statistics. If you order from the state, list Apostille as the reason.
Does a University of Dallas diploma need to be notarized first?
Yes. Diplomas and transcripts are private records, so a Texas notary must be involved before the Secretary of State will attach an apostille. Ask the registrar how they prefer to handle notarized copies.
Do you have an office in Irving?
No. We serve Irving clients by mail and courier and submit documents to the Texas Secretary of State in Austin on their behalf.
What does an Irving apostille cost through your service?
Our fee is $195 per document plus the $15 Texas state fee per document. Shipping and any embassy legalization fees are separate.
